Agreement to take part in user research 

Research on voting and elections

Before you agree to take part, you must read the following information carefully. We need to check you understand what is involved and record your agreement.  

Who we are 

This research is for Atos and Softwire at the Ministry of Housing, Communities and Local Government (MHCLG). 

Your researcher is Chloe Lei from Softwire, a company working for MHCLG.

Why you are being asked to take part in research 

Your knowledge and experience will help us understand and improve how people set up voting arrangements, if not voting in person. This research is not about your political views or who you’ve voted for – it’s about what you need to do, to be able to vote.

What you will do 

You will be asked to take part in a face-to-face interview that will last around 60 minutes.   

This research will take place in person.

Your right to take part  

It is your choice to take part. If you do not wish to take part, you do not need to provide a reason.   

You can skip questions or tasks that you are not comfortable with. 

Whether you decide to take part or not will not affect services or entitlements that you received from us 

Right to withdraw from this research 

 If at any point you want to stop the session or no longer want to take part, just email your researcher, or [email protected], or say so any time during the session, and we’ll end your participation. You can withdraw:   

partially – you stop taking part, but we can finish working on data already collected

fully – we delete all research data we still have that identifies you

 Potential risks

 We do not expect any major risks associated with taking part. However, if at any point you feel uncomfortable, let the researcher know and they can pause or stop the session.   

How your data will be used  

"Data" means the information collected when you take part in research. This includes things like your contact information, your answers to questions, and—if you give permission—a recording of the session. 

After the research session, we may keep your personal data for up to two years, but we will delete it earlier if it's no longer needed for analysis or follow-up. We sometimes share research data to help explain what we've learned—for instance, if you have agreed in advance, we might show colleagues in the team a short video clip of you describing how you use a service. We use several techniques to make sure your identity is protected.

Sharing with third parties 

if you joined our research via another organisation, we may tell them that you took part but nothing more

Data obtained from third parties 

if you joined our research through another organisation, they may share some data about you with us (like contact information or background details). They will tell you more if this happens

Examples of when we must share data  

There are some specific situations where we are obliged by law to pass your information to third parties regardless of what you agree to. This is only in instances where sharing your data is important to protect yourself and, or others.  For example, in instances when we become aware of:    

a risk of harm to a child or a vulnerable person

an immediate, serious risk to your own safety

an immediate, serious risk to the safety of others

evidence of you breaking the law
